Affirmative Action Assurance (AAA) Certification

What is AAA certification?

Doing business with the City of Dayton requires each vendor to obtain AAA Certification, or demonstrate a qualified exception. Every vendor's commitment to equitable hiring practices makes the City of Dayton's diversity goals a reality. The City of Dayton’s AAA certification program is one of several business certification programs administered by the Human Relations Council’s Business and Technical Assistance team.

How do I get AAA certified?

For New Vendors:

To obtain AAA certification, your business must first become a registered Vendor with the City of Dayton. To become a registered Vendor, complete both a Vendor Application and W9. Next, you can submit the completed forms here or submit these forms to the City’s Division of Procurement (formerly known as the Division of Purchasing) by emailing purchasing@daytonohio.gov and BTA@daytonohio.gov. After processing, you will receive an email with login credentials for the City’s vendor certification and compliance portal, citybots.com, where you can complete the online AAA form.

For Existing or Inactive Vendors:

Please note that older paper/PDF versions of the AAA form are no longer being accepted. To obtain AAA certification, you must log onto the City’s vendor certification and compliance portal, citybots.com, where you can complete the online AAA form.

What if I lost my credentials?

If you have lost your citybots.com login credentials or never received them, contact the BTA team for assistance by emailing BTA@daytonohio.gov.

When does my AAA certification expire?

Depending on if a vendor supplies the EEO Policy via citybots.com, there are two (2) categories of approval:

  • Conditional AAA Certification: Valid for 90 days

  • Full AAA Certification: Valid for 2 years

When your AAA form is processed, you will receive an email with your AAA expiration date; you can also check citybots.com at any time to confirm your AAA certification status/expiration date, and to print your own AAA certificate. Citybots.com will automatically send you email reminders to renew your AAA certification 90, 60, and 30 days prior to expiration.

Vendor completes vendor application and submits it to procurement

Things to Note:

  • There can only be one BOTSUser in CityBots at a time. 

  • CityBots automatically sends you the credentials to the email vendor provided on their vendor application. If you want to log in using a different email, you need to contact BTA so we can get it updated. 

  • Unless the vendor is a sole proprietor, the vendor needs to attach their EEO policy in PDF form to the AAA form on CityBots. If not, we can only approve for 90 days until they do so. 

  • CityBots sends a reminder 90, 60, and 30 days before the vendor's expiration date.
